Daily report · Wednesday 2 September 2026
Today was about the watch board. Dil asked for four things, and all four are done and live on your page. Every account now starts closed. Property Masters, Staffordshire and GC read Live. A box on each row points a new phone number at Josh. And you can filter the list down to the rows you want to see. No client got an email from any of this. One thing on GC needs a call from you. It is near the end.
Read this first Nothing reached a client today. Marking an account live writes a date on our side. It sends nothing. The new number box can send email #2, but only when the switch is on, and only once. That is the same rule as before.
Two faults were found on the way and fixed. One of them would have sent Giselle a second copy of an email she already had. It never fired. It is item 5 below.
Every account starts closed. Click the company name and the detail drops down. Click it again and it goes back up. You asked for this twice. It is built for fifty accounts, not five.
Three accounts are live. Property Masters, Staffordshire and GC all read Live with today's date. Their rails are green from end to end.
A box points a new number at Josh. Any account with no number has a small box on its row. Type the number, press the button, and Josh answers on it the same second. No code change. No restart.
You can filter and sort. Five chips above the list. All, needs attention, live, in progress, not started. Each one shows its count.
One amber flag on GC waits for you. It is about which of Chad's two records Josh reads from. That is your call, not ours. Details below.
So you can see the shape of it before the detail.
| When | What we did | Result |
|---|---|---|
| Morning | Built the fold-up board and tested it at fifty rows | Live on your page |
| Late morning | Marked Property Masters, Staffordshire and GC live | All three read Live |
| Late morning | Found the Mark live button could resend an email | Fixed before it fired |
| Midday | Built the number box on each row | Live |
| Afternoon | Added filter chips and a sort | Live |
Five items. Each one says what it does and why it is that way.
Your words in the meeting: "You push the button and it opens up to see the detail. Push the button, details go back up." That is what it does now.
A closed row still shows the things that matter. The name, the contact, the stage badge, and one line that says what the account is waiting on. That line reads Do next, Blocked, Broken or Complete. It tells you which row to open. Everything else, like the nine-step rail and the eleven cards, is inside.
A broken account is red even when closed. A step that never ran, or a form the client is stuck on, paints the row's edge red. It stays closed. A row that keeps popping open is a row people learn to ignore.
The board remembers what you opened. Refresh the page and the same rows are open. There are also Open all and Close all links at the top.
We tested it with fifty fake accounts. Closed, the page is about six screens long. Open, the old way, it was about eighteen.
Dil's words: "We have been calling them already and the client completed their form already. All green and live please." All three now read Live with today's date.
Property Masters and Staffordshire only needed the date. Every other step was already green.
GC needed more. Its row was red for three steps. Chad was set up by hand, by you and Beth, long before the new path existed. So his two emails are now recorded as sent by hand. The last step, his contact in our own CRM, fills itself in. The system now looks a client up by email and writes the id. It looks. It does not push. Nothing in GoHighLevel can fire off it.
GC could not have gone live from the Build Board button. Its main record is still a draft. It was written straight to the record on Dil's say-so.
Dil's words: "When I'm done doing that in Telnyx, I will just input the number of that client, then it will trigger a workflow up to the end."
Any account with no number now has a small box beside the red flag. It is there with the row closed. Type the number and press Point it at Josh. Four things happen.
One. The number is saved and is live the same second. The next call on it reaches that client's own brain. No code change. No restart.
Two. We read Telnyx and say whether the number is on the right app. If it is on the wrong one, the row says so in red. A number on the wrong app is the line that picks up and plays silence.
Three. The email sweep runs at once. Email #2, with the number and the things to try, goes the same minute. Same switch, same once-only rule.
Four. The board refreshes and the rail shows the new step.
It stops one step short of live, on purpose. Marking an account live still waits for a real call on the line and a person pressing the button. That is your rule from yesterday. A client's first caller must not be our first test.
It can never move a number. Type Chad's number into another account and it refuses and names the owner. Test accounts cannot be given a number at all.
Dil's words: "Right now it's scattered. What if we only like to see those that are completed or non completed or pending."
Five chips above the list. All, needs attention, live, in progress, not started. Each one shows its count. Click one and only those rows show.
A sort beside them. Needs attention first is the default. The row that needs a person is at the top. You can also sort by stage, from not started to live, or A to Z.
The board remembers your choice. The filter and the sort come back the way you left them.
A filter hides rows. It never changes the numbers at the top. Those still count every account. A filter must not make "Waiting on an email: 0" a lie about rows you chose not to look at.
The Mark live button could send a second email. It checked only the date the machine sends an email. Beth sent Giselle her number and scenarios by hand on 28 August. So pressing Mark live on Staffordshire would have emailed her a second copy. We read the button before pressing it. It now counts a hand-sent email as sent.
The two test firms were on the board. XYZ and PDF are fake firms we built for testing. They were sitting on the watch board as two client rows, counted in every total. Now they are off the board, the totals and the "what's new" list.
GC's row is live and green, except for one amber flag.
GC: "Running on built-in seed" Chad has two records in our system. His phone number goes to the first one. Josh reads from the first one. His finished setup form is in the second one.
So Josh is not reading Chad's finished answers. He is reading the record we have kept by hand since July. That record has the pre-drywall price fix from 19 August. Chad's form may not.
Your call: fold Chad's form into the record Josh reads, or leave it as it is. Folding it changes what Josh says on Chad's real line. That is why we did not do it. Either way is one script. Say the word.
